Artilence is a US-headquartered AI and software development company. We design and build healthcare chatbots that answer patient questions, route symptoms to the right level of care, schedule appointments, collect intake information and send reminders, all connected to the systems your staff already use.
Every project starts with a map of where patient data travels, who can see it and what the bot must never say. We aim to work with healthcare organizations in Riyadh, Saudi Arabia, and Florida, USA, and are committed to implementing appropriate data privacy and security measures in accordance with applicable regulations and requirements.

What a healthcare chatbot should never do
A retail bot that answers wrongly costs a sale. A healthcare bot that answers wrongly can hurt someone. We design clear limits into every build:
- It does not present itself as a doctor or give a diagnosis.
- It detects emergency language and sends the patient to urgent help immediately.
- It hands off to a human when confidence is low or the patient asks.
- It answers only from approved clinical and policy content.
Built around patient data protection
Compliance is a property of the whole system, not a switch you turn on in the chatbot. If a bot touches protected health information (PHI), every vendor in the chain, including the AI model provider, has to be covered. This is how we build:
BAAs signed with clients, HIPAA-aligned safeguards in every build
Map the data first
Before design, we document where PHI enters, where it is stored, who can see it and where it leaves.
Business Associate Agreements
We only send PHI to services that will sign a BAA. Artilence signs BAAs with clients and implements HIPAA-aligned safeguards to protect healthcare data.
Encryption and access control
Data is encrypted in transit and at rest, with role-based access and single sign-on for staff.
Audit logs
Every access to patient data is logged and reviewable.
Data minimization
A scheduling bot does not need medication history. We collect only what each use case requires.
Retention rules
We agree how long transcripts are kept and how they are deleted, before launch.
Compliant hosting
HIPAA-eligible cloud or self-hosted in the region you require.
Clinical guardrails
Approved content only, emergency detection and human escalation.
Regulatory questions we raise early
Flagged during discovery, so compliance never surprises you after launch.
FDA
A chatbot that gives clinical recommendations may count as software as a medical device. We flag this during discovery so it does not surprise you after launch.
Covered in discoveryGDPR and regional rules
For patients outside the US we plan data residency and consent from the start.
Covered in discoveryYour own policies
We work with your compliance or legal lead and adapt to your internal review process.

Connected to the systems your team already uses
A chatbot that cannot see schedules or records ends up as an expensive FAQ page. We connect it to your core systems so it can act, not just answer.

How we build your healthcare chatbot
Timelines are indicative and depend on scope and integrations. Artilence follows security and data protection practices aligned with our delivery capabilities and applicable client requirements, including BAAs where agreed.
Discovery and data-flow mapping
1 to 2 weeksWe agree the use case, the users, the success measures, the PHI involved and the compliance path.
Conversation and safety design
1 to 2 weeksWe write the flows, the approved content, the escalation rules and the things the bot will refuse to do.
Build and integrate
4 to 8 weeksWe build the bot, connect your systems and set up logging, access control and hosting.
Testing
2 to 3 weeksWe test accuracy against real questions, clinical safety, security and edge cases, with your clinical reviewer involved.
Pilot launch
Limited releaseWe release to a small group, watch real conversations and tune before the wider rollout.
Monitor and improve
OngoingWe track resolution rate, escalations and patient feedback, and expand to the next use case.
Health AI we have already shipped

Your Vet Box: an AI symptom guide for pet owners
Many pet owners rushed to the vet for minor issues, which caused stress and overcrowded clinics. We built a responsive website with an AI chatbot that uses certified veterinary knowledge. It asks symptom questions, analyzes the answers and can request photos to help owners tell whether a problem is serious or can be managed at home.
- Result: fewer unnecessary vet visits, so clinics can focus on critical cases.
- Why it matters for human healthcare: the same triage, escalation and approved-knowledge design applies to patient-facing bots.

NutriFlex.AI: personalized nutrition and wellness
A nutrition and wellness platform that tracks daily habits, menstrual cycle, ovulation and hormonal health, with AI insights shaped by professional nutritionist input. Users can book certified nutritionists and get tailored meal plans.
Result: 12+ months in active use, personalized wellness tracking, nutritionist booking, and interactive analytics dashboards for tracking health trends and user progress.

ViClinic: AI symptom documentation before the visit
Our patient-facing project ViClinic is an AI-powered healthcare platform that helps patients document symptoms and prepare structured summaries for doctors before appointments.
Result: patients arrive with a structured health record and doctors receive organized symptom details before the consultation.

We choose the simplest approach that is safe for the task.
Structured rules
A scheduling bot may run on structured rules.
Grounded language model
A bot that answers clinical-policy questions needs a language model that is grounded in your approved content.
Our team also covers full-stack development, cloud and DevOps, and security, so the chatbot, the integrations and the hosting come from one team. For broader clinical AI work, see our healthcare AI development services.
Language models
Understanding and answering patient questions with Azure OpenAI or AWS Bedrock, subject to BAA availability and appropriate configuration.
Retrieval over approved content
Answers come from your protocols, FAQs and policies, not from the open internet.
Guardrails
Topic limits, emergency detection, refusal rules and human handoff.
Evaluation
A test set of real questions to measure accuracy and catch regressions before each release.
Interfaces and APIs
FHIR and REST connections to your EHR, scheduling and messaging tools.
Infrastructure
HIPAA-eligible cloud or self-hosted, with monitoring and audit logging.
What a healthcare chatbot costs
Published estimates for healthcare chatbots range widely, from about $10,000 for a simple bot to well over $100,000 for an enterprise assistant. The gap comes from what the bot touches, not from the chat window itself. Final pricing depends on complexity, integrations and security requirements.

Healthcare chatbot development: frequently asked questions
What is a healthcare chatbot?
A healthcare chatbot is software that talks with patients or staff by text or voice. It answers common questions, helps with triage, books appointments, collects intake details and sends reminders, and passes complex cases to a person.
Does a healthcare chatbot need to be HIPAA compliant?
If it collects, stores or sends protected health information for a covered entity, HIPAA applies, including to vendors and AI model providers. Each one needs a Business Associate Agreement. A bot that only shares general information with no patient data is treated differently.
Can a chatbot diagnose patients?
We do not build bots that diagnose. Ours give general guidance, flag urgent symptoms and route patients to care. A bot that makes clinical recommendations may be regulated as a medical device, which we review during discovery.
How long does it take to build one?
A focused pilot with one use case often takes about two to three months, including design and testing. Multi-system builds take longer.
Can it connect to our EHR?
Yes, in most cases, through FHIR, HL7 or vendor APIs. Feasibility depends on your EHR vendor and your access to its interfaces, which we check in the first week of discovery.
Do you offer a pilot?
Yes. We can start with a pilot or proof of concept so you can validate results before committing to a full build.
Where is patient data stored?
We host on HIPAA-eligible cloud or self-host in the region you specify. We agree retention and deletion rules before launch.
